Backup and recovery
Use Qboxmail Mail Time Machine to browse mailbox backups, recover messages, and restore email deleted by mistake.
Backup
A backup is a reserve copy of data created to avoid unpleasant situations in the event of data loss caused by human error or another type of incident. In our case, backups are performed on users' email accounts to prevent one or more messages from being lost after being deleted by the user, whether by mistake or otherwise. Our systems automatically back up all email accounts every day at midnight and keep them available to the user in read-only mode for 15 days through Mail Time Machine.
Backups are a “snapshot” of the data on our servers for an email mailbox at a specific point in time. If your email account is configured with POP3 and you delete messages, they cannot be recovered because they are not on the server and the backup would be empty. Conversely, if your account is configured with IMAP, the messages will be on the server and it will be possible to recover them.
Recovery
Through Mail Time Machine you can restore messages from a mailbox. To recover calendars or address books, contact our technical support.
Thanks to the backups performed every day, it is possible to restore one or more messages that were deleted by mistake. Backups do not guarantee that recovery is always possible. For example, email messages received and deleted between one backup window and the next will not be present, and messages deleted by a user configured with POP3 without leaving a copy of the messages on the server will not be present.
You can choose between 2 types of recovery:
- Download individual messages Downloading lets you keep the selected messages in EML format on your device. From Mail TM, you can download individual messages independently. To do this, access Mail Time Machine, find the message to download, right-click it, and then click Download.
- Restore messages to the email account If you have mistakenly deleted multiple messages, entire folders, or all mail from an email account, you can request a restore to one of the 15 days before today's date. With a restore, deleted messages will become available and visible again in the email account.
To request a restore, access Mail Time Machine, select the date corresponding to the backup you want to restore, and click the Request restore button. The admin will receive an email with the restore request and an invitation to confirm or reject the operation. To reject or confirm the operation, access the panel as admin, click Restore requests, and choose whether to Confirm or Reject the request.
Each backup is retained for 15 days. A restore can only be confirmed within the time limits shown in the panel.
If the request is accepted, the operation will be performed immediately and the user will receive a confirmation email when it is complete.
The restore operation adds the missing messages to the email mailbox; existing messages remain available. In practice, only the missing messages are added.
If the request is rejected, the user will receive an email rejecting the operation.
The operation has an extra cost, which will be billed as soon as we receive confirmation of the operation.
