Accounts

Create and manage Qboxmail Email Delivery accounts, SMTP credentials, passwords, status, and access permissions.

Add an account

To add a new account, select Accounts from the Control Panel sidebar. If no accounts exist yet, click the + Create account button in the center of the page to create the first account. If other accounts already exist, click the + Account button above the table, on the right side of the page.

Then follow the instructions shown in the different steps to complete the operation.

Step 1 - New account: Description and type

Enter a description that lets you easily identify the account’s purpose, for example “Hotel newsletter” or “Hotel booking confirmations”.

We recommend using a clear and recognizable description, because the account username is automatically generated by the system as a random combination of letters and numbers for security reasons. The description is therefore the most immediate way to distinguish the different accounts within the platform.

During creation, you must also select the sending type associated with the account, choosing between transactional or promotional messages.

Step 2 - Account plan

Select the type of plan you want to activate by choosing from:

  • Free: each customer can have only one active account with a Free plan.
  • Monthly subscription.
  • Prepaid package: messages purchased with this option are valid for one year. In the case of subsequent purchases, the expiration date will be extended automatically.

After choosing the plan, select the desired number of messages using the available slider. If the Free plan has been selected, you cannot change the number of messages proposed by the system.

You can create only one account with a free plan.

The price will be updated automatically based on the combination of the selected plan and the chosen number of messages.

Step 3 - Payment method

If you are a new Qboxmail customer, during the procedure you will be asked to enter your personal details and accept the contractual clauses required to activate the service.

You can then choose your preferred payment method. If you are already a Qboxmail customer, you will be taken directly to payment method selection.

The accepted payment methods are:

  • Credit card with automatic charge: automates invoice payment using your credit/debit card. All major networks are accepted, for example Visa, Mastercard, and American Express. The charge will be made on the invoice due date.
  • PayPal with automatic charge: automates invoice payment using your PayPal account. The charge will be made on the invoice due date.
  • PayPal with manual charge: make the payment using your PayPal account. You will need to pay invoices manually by following the instructions in the proforma invoice by the due date.

Step 4 - Summary

This step summarizes the options selected for the new account, together with the total expected cost. If the Free plan has been selected, clicking the Activate button will activate the account immediately and you can proceed directly to the next step. If a paid plan has been selected instead, you will need to click the Order button to send the request to our systems. You will receive an email containing the order summary and the link to complete the payment. Once payment has been received, the account will be activated within 24 hours.

Account list

The initial screen of the accounts section shows all created accounts. The following information is displayed for each account:

  • Status
  • Account (that is, the description entered when the account was created)
  • Username
  • Domains (indication of the number of domains used compared with the maximum included in the plan)
  • Remaining messages
  • Type (transactional or promotional)
  • Plan

Just above the account list there is a quick status filter. The possible statuses are:

In addition to filtering accounts by status, you can perform an advanced search using additional criteria through the Filter button:

  • Type: lets you select the type of messages associated with the account, such as transactional or promotional emails.
  • Plan: lets you filter accounts based on the active plan.
  • Messages: lets you set a range for the remaining available messages.

To apply the selected criteria and activate advanced search, click the Apply filters button.

Account details

By clicking one of the created accounts, you can access all information and settings related to the selected account. The content is organized within a secondary sidebar, which lets you easily navigate between the available sections.

Dashboard

This section displays a micro-dashboard showing some data related to the account itself. These include:

  • Account details
  • Messages: this section shows the number of messages used compared with the total available through a dedicated progress bar. If extra messages are present, their usage is also displayed. From the same box, you can also change the plan using the Change plan button or purchase additional messages using the Purchase extra messages button.
  • Trend: this chart shows the daily sending trend during the month, highlighting the breakdown of messages between sent, delivered, suppressed, and those that generated a bounce.

Domains

This section lists the domains already associated with the account and their status. You can also create a new association. Click the + Associate domain button and select the domain to associate. If the button is disabled, it means the account has reached the maximum number of domains that can be associated and you will need to create a new account to use other domains, or remove one of the associations.

You can associate a maximum of 250 domains per account.

Details and credentials

In this section you can view and manage the account’s main information. The Description item lets you enter identifying text useful for easily recognizing the account within the platform. The Credentials section, instead, contains the parameters required to configure the connection to the SMTP server. The credentials can be used both in email clients and in applications with email sending features, such as e-commerce platforms, management software, or email marketing platforms.

Protection and deliverability

This section contains the settings dedicated to managing deliverability and account security. With the Bounce alert option, you can specify an alternative email address where you want to receive notifications about undelivered messages. The Suppression list item lets you decide whether to apply or ignore the suppression list associated with the account during sending. Through IP access control, you can instead limit access and sending to authorized IP addresses only. If the field is left empty, access will be allowed from any IP. To add an authorized IP address, simply enter it in the dedicated field and click the + button. To remove an already configured IP address, click the icon in the corresponding row of the table.

API Token

The API Token section lets you create and manage tokens used to send messages through the Qboxmail Send API.

These tokens are linked to the selected Email Delivery account and must be used as Bearer tokens when calling the Send API:

To create a token, click Create new token, enter a recognizable name, and generate it. Copy and save the token immediately: the full value is shown only once. After closing the creation window, only a masked preview will be visible.

Important

If you lose the token, you cannot view it again. Delete it and create a new one.

The token list shows the token name, masked preview, creation date, and last usage date.

By opening a token, you can configure IP Access Control. Leave the list empty to allow requests from any IP address, or add trusted IP addresses/CIDR ranges to restrict where the token can be used from. Token IP restrictions are applied in addition to the account-level IP access control configured in Protection and deliverability.

To revoke access, delete the token.

Service management

In this section you can manage the plan associated with the account and service-related operations. With the Change plan option, you can modify the active plan by choosing between Free, Subscription, or Prepaid. The new plan will be activated once payment has been completed. Any unused remaining messages will be lost when the plan is changed. The Terminate service function lets you permanently delete the account. Associated domains will not be removed, while addresses in the suppression list will be deleted. Before proceeding, we therefore recommend exporting the suppression list if you want to keep its contents.
