Email account storage
Understand Qboxmail email account storage, default mailbox space, storage upgrades, notifications, and limits.
Available Storage
All email accounts have a default storage space of 8GB, which can be increased up to 100GB.
The available storage space (also called quota) applies to each individual email account and cannot be shared or split with other email accounts on the domain.
Example: a domain with 10 email accounts of 8GB each will have 80 GB of total available storage, but it cannot have a single 80GB mailbox.
If you need email accounts larger than 8 GB, you can set the size to 25 GB and, if needed, increase the account size in 25 GB packages up to a maximum of 100 GB per email account.
From the Control Panel you can create email accounts with a size different from the default ones. Currently, the quotas that can be set are:
- 1GB
- 2GB
- 3GB
- 4GB
- 5GB
- 6GB
- 7GB
- 8GB
- 16GB
- 25GB
- 50 GB available for Professional and Enterprise plans
- 100 GB available for Enterprise plans
For billing purposes, only 8 GB, 25 GB, 50 GB, and 100 GB email accounts are counted.
When creating a domain or in its settings, you can specify the default size (Default Quota) and maximum size (Max Email Quota) that email accounts associated with that domain will have, so as to limit the options available to the Postmaster user.
The storage used by email mailboxes can be checked in real time by the user through Webmail, the Control Panel, or their email client configured with IMAP (if it supports quota display, such as Thunderbird). The customer or the domain Postmaster can check the quota of all users from the Control Panel or via the APIs.
Email accounts also have a limit on the maximum number of email messages they can contain.
The message count limit is only a protection system against possible abuse and normally no user reaches it. The maximum number of messages for each size is shown below:
| Mailbox Size | Max. number of messages | Mailbox Size | Max. number of messages |
|---|---|---|---|
| 0,50 GB (Postmaster) | 1.600 messages | 7 GB | 229.376 messages |
| 1 GB | 32.768 messages | 8 GB | 229.376 messages |
| 2 GB | 65.536 messages | 16 GB | 524.288 messages |
| 3 GB | 98.304 messages | 25 GB | 524.288 messages |
| 4 GB | 131.072 messages | 50 GB | 786.432 messages |
| 5 GB | 163.840 messages | 100 GB | 786.432 messages |
| 6 GB | 196.608 messages |
The number of messages contained in an email mailbox is visible from Webmail in the "Used space" bar or via API.
Email mailbox almost full warning (Quota Warning)
Qboxmail notifies users by email when they are approaching 100% of used storage. Specifically, email warnings are sent when 80%, 90%, and 95% of used storage are exceeded, and when the mailbox returns below 85% or 75% of occupied storage.
When 100% of the available storage is reached, it is no longer possible to receive new email messages and access to the email mailbox may also experience problems. Email mailboxes that reach 100% of their quota must be expanded or email messages inside them must be deleted.
Through the Activity Log you can view the almost-full email mailbox warnings sent to users and administrators
Webhook or Email notification for almost-full email mailbox
Qboxmail can also notify the customer when a user's email mailbox is almost full or when it returns below a certain threshold.
You can enable these notifications by accessing the Control Panel as Admin, clicking your name in the top right, and then going to Settings -> Notifications.
From here you can choose to receive an alert via Webhook or by email notification, at an address of your choice, for all mailboxes under your management.
Webhook or Email notifications are sent:
- when 95% of the quota is exceeded
- when 90% of the quota is exceeded
- when 80% of the quota is exceeded
- when the quota returns below 85%
- when the quota returns below 75%
To enable Webhook or Email notifications, please read the related Control Panel or API documentation.
