View and manage events

Events

To view the events that are in a calendar, select the corresponding checkbox in the sidebar of the Calendar module. You can change the type of calendar display by selecting it from the menu at the top-right corner of the interface, under the navigation bar.

Manage events

To create an event, click on the New event or NewEventIcon button in the sidebar, fill in the necessary fields, and click on Save button to add the event to the chosen calendar.

Fields Description
Title Enter the name of the event
Select calendar Select the calendar where the event will appear
All day Activate or deactivate the daily event
Event start date and time Enter the date and time of the start of the event
Event end date and time Enter the date and end time of the event
Details
Location Enter the place where the event will take place
Notes In this section you can enter any notes regarding the event
Label You can select a label to assign to the event
Settings
Event type Select the type of event by choosing from: public, confidential, private
Show as Select how you want to appear by choosing from: available, busy, out of office, temporary
Event priority Select the priority of the event choosing between: none, high, medium, low.
Alert Set the minutes of the first warning of the event
Second alert Set the minutes of the second notice of the event
Repetitions
Repeat every Select how often to repeat the event by choosing between: never, every day, every week, every month, every year and a possible end of the repetition
Participants
Add participant Add participants to the event and check their availability
Attachments
Upload or drop attachments Upload attached files that will be sent to the added participants

To set the repetitions of a new event, click on the Repeats item in the event creation window, select the type of repetition you want for the event, and click on the Save button to save changes and add the event to the calendar.

To invite participants to a new event, click on the Participants item in the event creation window, enter the name or email address of the users you wish to invite, and click on the + button to add them to the list. Click on the Save button to save and add the event to the calendar.

To check the availability of the guests invited to an event, select the Participants item in the event creation window and click on the Check availability button. If necessary, find an alternative time or date by clicking on the Find Availability button and save the new date for the event by clicking on the Save proposal availability button. Click on the Save button to save and add the event to the calendar.

By accessing the event details, you can check if the participants have accepted or declined the invitation or if they have not yet made a decision.

To add attachments to a new event, click on the Attachments item in the event creation window. Then, upload the files you wish to attach and click on the Save button to save and add the event to the calendar.

The files attached to an event can be downloaded by any participant who is invited.

To edit an event, click on the event you wish to edit and on the Details button to open the event edit window. Make the necessary changes and click on the Save button.

To delete an event click on the event you wish to modify and on the Details button to open the event editing window. There, click on the Delete button to confirm the operation.

Import events

If you want to add events to the Webmail, you can do it individually or in a batch, through a single import.

To import, go to Calendar > right-click on the name of the calendar where you want the events to be imported > Import events > Upload the file in .ICS format > Import UploadIcon

  • Calendar > right-click on the calendar > Import events > Load the .ICS file> Import UploadIcon

It is possible to import contacts only from a .ICS file. A .ICS file is a specific format used by various calendaring and e-mail programs to share information on the scheduling details of an appointment.

Event export

Event export allows you to save a file in .ICS format to your device. It can contain either a single event or all events of a Calendar. This file is useful for importing events from an old to a new provider.

Export events from the previous provider

Many email providers allow the export of contacts in .ICS format, a kind of file with a specific format that is used to transfer events and appointments.

You can export contacts directly to .ICS from your previous provider by going to Calendar or Tools > Export events (in .ICS format). For more information, please consult the documentation of your old provider.

Export events via Webmail

You can export a single event via your Webmail by clicking on Calendar > select the event you want to export > Details > Download DownloadIcon

You can export all the events of a calendar by clicking on Calendar > right-click on the calendar you want to export > Download DownloadIcon
