Delegates

Manage delegates in the Qboxmail Control Panel and assign controlled archive access to selected email accounts.

Who is a Delegate?

A Delegate is a user authorized to access the archive of one or more email accounts within certain limits. A Delegate account is personal and should be used only by that user.

Who can create a Delegate?

A Delegate can be created by an Admin, a Team member, or a Manager authorized to enable archives.

To create a delegate, you must have an email account with an active archive.

What can a Delegate do?

A Delegate can access some or all archived content for one or more email accounts, for example to support internal audits or company protection processes. Archive access can be time-limited, and the visible message date range can also be restricted. All Delegate activity is tracked in a dedicated log.

Delegate list

The Delegate list shows all Delegates associated with an Admin in Qboxmail, along with their details. To view the Delegate list, click Archive and then Delegates in the Control Panel sidebar.

Information shown in the delegate list:

  • Delegate status.
  • Delegate name.
  • Delegate code.

Add a delegate

To add a Delegate, click Delegates in the Control Panel sidebar, click the + Delegate button, and complete the creation steps. Once complete, the Delegate will be visible in your Delegate list.

Step 1 - New delegate

Enter the user's details.

  1. Enter the user's first name.
  2. Enter the user's last name.
  3. Enter the user's company name.
  4. Enter the user's email address.

Step 2 - Time limits

Set the time limits for the user's access to the archive.

  1. Set an expiration date for the user's account.
  2. Set a time range for the user to view content.

Step 3 - Content access

Set the user's archive content access limits.

  1. Select the domain for the accounts the user can view.
  2. Select the email accounts the user can view and choose which content to make visible:
SubjectThe delegate can only see sender / recipient, subject, and date of the messages in the account.
AllThe delegate can see the full content of the messages in the account.
IgnoreThe delegate is not authorized to view the content of the account.

You can authorize the delegate to view accounts from multiple domains.

Step 4 - Delegate creation summary

To complete the procedure, click the Create button. Once the Delegate has been created, they will be visible in your Delegate list.

Delegate access to the archive

A Delegate can access the archive at https://vault.qboxmail.com using their User ID and the password chosen when activating the account.

Delegate settings

To change a delegate's settings, click the name of the delegate you want to edit in the delegate list and select Settings from the available tabs.

Password

Change the delegate's password for accessing the archive.

Time limits

Change the delegate's archive access limits set during creation.

Content access

Change the domains and accounts the delegate can view.

Disable / re-enable a delegate

To disable a delegate, in the delegate list click the More button next to the delegate you want to disable and select Disable from the menu.

When you disable a Delegate, they can no longer access the archive or view account content.

To re-enable a delegate, in the delegate list click the More button next to the delegate you want to re-enable and select Re-enable from the menu.

When you re-enable a Delegate, they can access the archive and view account content again.

Delete a delegate

To delete a delegate, in the delegate list click the More button next to the delegate you want to delete and select Delete from the menu, then confirm the operation by clicking the Delete button in the modal.

Deleting a delegate will delete the corresponding account and the authorizations assigned to it.

Deleting a delegate is irreversible.
