Archive

Archive is a service that can be activated on the email accounts of a domain that allows you to store in the cloud, search and export all messages received and sent by these accounts automatically, keeping them up to a maximum of 10 years with no space limit. To activate an archive you must have at least one active domain.

Archive is an optional paid service.

List of domains with archive

The list of domains with archive contains all the domains present in the Qboxmail systems on which the archiving service is active, with the related detailed information. To view the list of archives click on the name on the entry Archive in the control panel sidebar.

Information present in the domain list with archive enabled:

  • Status
  • Name of the domain on which the archive is active
  • Number of email accounts with active archive

List of email accounts with archive

The list of email accounts with archives contains all the email accounts for a domain on which the archiving service is active, with the related detailed information. To access the list of email accounts with active archive, click on the name of the domain in the list.

Add archive to a domain

To add the archive service to a domain, click on the entry Archive in the control panel sidebar, click on the + Archive button and complete the activation procedure steps. Once the procedure is completed, the archive will be active on the email accounts of the domain you have selected and all new messages received and sent by these accounts will be automatically archived.

Step 1 - New archive

Choose the domain and the email accounts to activate the archive.

  1. Select the domain on which you want to activate the archive.
  2. Select the email accounts you want to archive.

The number of email accounts on which the archive can be activated may vary according to the limits set.

Step 2 - Archive storage

Set the default retention period (1 to 10 years) for email accounts with archives.

Messages whose receipt / sending date exceeds the chosen storage period will be automatically deleted from the archive.

Step 3 - Archive new accounts

Choose whether to automatically activate the archive for new email accounts that will be added to the domain.

The number of email accounts on which the archive can be activated varies according to the limits set.

Step 4 - New archive summary

To complete the procedure click on the Activate button. Once the creation procedure has been completed, the email accounts with archive will be visible in your email account list with archive.

The additional cost of accounts with active archive will be calculated based on the type of billing of your account.

Add archive to one or more email accounts

To add the archive service to one, or more, email accounts for a domain with an already active archive, click on the Archive entry in the control panel sidebar, enter the detail of the domain to which you want to add the email account, by clicking on the name of the domain, click on the + Email account button and complete the steps of the creation procedure. Once the procedure is completed, email accounts will be visible in your email account list.

  • Archive > Domain name > + Email account

Step 2 - New archive summary

To complete the procedure click on the Activate button. Once the creation procedure has been completed, the email accounts with archive will be visible in your email account list.

Domain archive settings

To change the setting of an archive click on the domain name, which you want to modify, on which the archive is active and select the item Settings from the tabs present.

  • Archive > Domain name > Settings

Storage

Choose the default retention period for messages received and sent from domain accounts.

The storage duration is calculated starting from the date of reception / sending of each single message. Messages whose date exceeds the chosen storage period will be automatically deleted from the archive.

New accounts

Set up automatic archive activation for new email accounts that will be added to the domain.

Account email account settings

To change the settings of an archive click on the name of the email account, which you want to modify, on which the archive is active and select the item Settings from the present tabs.

  • Archive > Domain name > Account email name > Settings

Storage

Import messages from an email account in the archive

To import the messages in an email account with active archive, click on the name of the email account in the list, select the Details item from the tabs and click the Start import.

  • Archive > Domain name > Account email name > Details > Start importing

The import allows to add to the archive all the old messages currently present in an email account, dividing them by year between received and sent. The import will go back in time for a period equal to the archiving years set for the account archive.

You can only import messages from an email account configured with the IMAP protocol.

  1. Click on the Start Import button.
  2. Select the folders in the email account and choose where to store the messages they contain.
Received The contents of the folder are stored in the messages received
Sent The contents of the folder are stored in sent messages
Ignore The contents of the folder are not archived
  1. Complete the procedure by clicking on the Import button.
The import procedure can be performed only once and can take a few hours to complete.

At the end of the procedure a confirmation email will be sent. You can follow the import status in the details section of the mailbox.

Once the import is finished it's possible, if necessary, to delete the messages from the email account to free up space.

Deactivate / reactivate a domain archive

To deactivate the archive on a domain, in the domain list click on the button More MoreIcon in correspondence with the domain you want to deactivate and select the item Disable of the menu.

  • Archive > Domain name > Other MoreIcon > Disable

By deactivating the archive, all the messages received and sent will continue to be archived, but it will not be possible to access them.

To reactivate the archive on a domain, on the list of domains click on the button Reactivate in the menu.

  • Archive > Domain name > Other MoreIcon > Reactivate

Re-activating the archive, all the messages received and sent will continue to be archived and can be accessed.

Deactivate / reactivate an account email archive

To deactivate the active archive on an email account, in the email account list click on the More button MoreIcon corresponding to the account you want to deactivate and select the Deactivate menu item.

  • Archive > Domain name > Account email name > Other MoreIcon > Disable

By deactivating the archive, all the message received and sent will continue to be archived, but it will not be possible to access them.

To reactivate the archive on an email account, in the list click on the More button MoreIcon corresponding to the account you want to reactivate and select the Reactivate item on the menu.

  • Archive > Domain name > Account email name > Other MoreIcon > Reactivate

By reactivating the archive, all the message we received and sent will continue to be archived and it will be possible to access them.

Delete a domain archive

To delete the active archive on a domain, on the list of domains click on the button More MoreIcon in correspondence with the domain you want to delete and select the item Delete from the menu, confirming the operation by clicking on the Delete button within the modal .

  • Archive > Domain name > Other MoreIcon > Delete

By deleting the archive, the archived emails of the domain accounts will be permanently deleted.

The deletion of a domain archive is irreversible.

Delete an account email archive

To delete the active archive on an email account, in the list click on the More button MoreIcon and than click on delete item menu, confirming the operation by clicking on the Delete button within the modal.

  • Archive > Domain name > Account email name > Other MoreIcon > Delete

Deleting the archive, the archived messages of the account will be permanently deleted.

The deletion of an email account archive is irreversible.
